TIFFIN CITY COUNCIL COMMUNICATION
DATE: March 3, 2026
AGENDA ITEM: Consideration to Implement RecDesk Recreation Management Software as
the centralized system for the new Tiffin Recreation Center and all Parks &
Recreation facility, program, and rental operations – Motion to Approve
ACTION: Discussion
Purpose
To discuss and receive Council feedback on addressing the need for new recreation management
software. With the Rec Center set to open this year, new recreation software will be needed to
help manage a variety of new program offerings, memberships, facility reservations, and point of
sale operations
Background
We currently use Teamsideline for our registration management software. Teamsideline is
excellent for sports, making rosters and game schedules, but struggles with non-sports
programming, neatly organizing programs on our website, generating financial reports, and it is
not designed for facility management and memberships to the level needed to operate the Rec
Center.
Options for Consideration
We requested quotes and demos from CivicPluc, Tyler Technologies, and RecDesk. Tyler told us
their software would not be suitable for managing a recreation facility. CivicPlus and RecDesk
were the top two choices, with RecDesk offering the most affordable option. The RecDesk quote
came in at $5,700 annually, with no training/implementation fee. CivicRec quoted $16,722.50,
which included over $6,700 in training/implementation. RecDesk is one of the most popular
options and is currently used by cities like Marion, North Liberty, and DeWitt, who have all
spoken highly of it.
Staff Recommendation
Staff recommends Council discuss the options and provide direction on whether to proceed
purchasing RecDesk as our new recreation software. It typically takes 3-4 months to implement
and onboard, so the goal would be to have it up and running to utilize it for fall programming and
prepare for the new Rec Center.
