Tiffin Goal Setting Session Cover Letter - 2021

Date: December 10, 2021 To: Honorable Mayor, City Council Members, and City Staff From: Doug Boldt, City Administrator, Tiffin Chelsea Huisman, City Manager, Polk City Re: Strategic Planning Enclosed is the meeting packet for the December 14th Strategic Planning and Goal Setting Session. Included within are the following: • An agenda • Ground rules for your session • A compilation of survey results from Elected Officials and City Staff Please note that we may add other material for the meeting that might be pertinent to other parts of the meeting agenda. I request that you please take some time to review the contents of your packet to familiarize yourselves with the Ground Rules and Survey Results. At the meeting we plan to generally organize the Planning Session as follows: 1.) We will briefly touch on the Ground Rules to see if the participants understand them and agree to abide by them. 2.) We will briefly review the lists of Major Accomplishments. Chelsea will ask if everyone understands each item that is listed. These items are grouped together so hopefully they don’t appear to duplicate each other. 3.) We will briefly review the lists of Issues or Concerns primarily to make sure there isn’t anything on that list that would need to be moved to the Initiative/Programs list. 4.) We will talk about the lists of Significant Initiatives or Programs. These lists are the ones that you will be asked to vote on by using the ‘dots.’ There’s more on this process later in this letter. 5.) We will briefly talk about the lists of Long-Term Significant Initiatives or Programs. This list will also be used to vote on by using the ‘dots.’ 6.) We will review the Teamwork results. After we finish the review of the list that the Mayor/Council generated, we will review the results of the City Staff’s list. You will be asked if there’s anything on the Staff’s list that you’d like added to your list. Without using the dots to vote, Chelsea will ask you to come to a consensus on what you think are the top two or three suggestions on the list.
